Five Ways To Make Virtual Meetings More Productive

Have you ever been on a virtual meeting that seemed like a waste of time? You’re not alone. Businesses tend to waste around $37 billion a year in unnecessary and unproductive meetings. Want to make a difference? Here are five things you can do to help make your meetings effective and run smoothly.

 

1.  Send a simple agenda beforehand

When you send out the meeting invite, add the top three points of discussion. This will allow everyone to be on the same page on what will be covered. This could also help your conversation stay on topic.

 

2.  Have notes ready in advance

About 10 to 15 minutes before you meet, consider gathering any notes or statistics that might be useful. Also plan ahead for any questions that others might have. Have actual data and numbers that you can review.

 

3.  Do a “tech test” a few minutes before 

Send a friendly reminder to everyone to ensure that their software is up to date and that they know how to operate the microphone feature of whatever meeting app you use.

 

4.  Enable video 

Having the video feature enabled will allow you to put a face to a voice. You will also be able to see any visual cues that someone might give, should they have a question or want to add on to a point you mentioned.

 

5.  End your meetings with next steps

At the end of every meeting you conduct, let your participants know of any actions they will need to complete or what they can expect from you.
